Flight Coordinator may perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate (emergencies, changes in workload, rush jobs, technical developments, etc).

The successful candidate must be highly motivated, organized and must be a team-oriented individual, capable of providing first class customer service and care. This position requires flexible coverage of multiple shifts in support of 24/7 operations including weekends and holidays. 

Primary Duties & Responsibilities:

This position will report to the Flight Operations Administrator and will work closely with corporate flight crews insuring executive travel requests are met in a safe and expedient manner. Some duties include, but are not limited to the following:

  • Coordinate with and support flight crews in the planning of all domestic and international flights
  • Arrange for and coordinate FBO services, aircraft handling, crew transportation, hotels and other passenger amenities
  • Obtain flight related authorizations, including fuel releases, Canadian and Mexican permits, Intl. Overflight permits, Customs, Immigration, and APIS for all flights as required
  • Ensure that available runway lengths are sufficient and enroute flight times do not exceed aircraft performance capabilities
  • Preparing Flight Release paperwork
  • Ensure that the appropriate fuel discount program is used at each destination, on a per trip basis
  • Administer and actively seek out company cost saving actions (i.e. company discount programs for fuel purchases, hotels, and rental cars)
  • Crew scheduling
  • Monitor crew flight, duty, and rest time limitations
  • Flight Following of all trips in progress to ensure coordination of ground transportation, notification of clients, and other pertinent information
  • Enter information into the computer from crew trip reports
  • Direct interface with sales department and key accounts
  • Assist Flight Operations and Charter Sales
  • Interface with aircraft owners to schedule their aircraft
  • Be on call during the week and on weekends in accordance with the on call schedule


The position requires minimal travel. Annual aircraft familiarization flights (each type) Is encouraged as well as the opportunity to attend annual industry seminars and conferences.

Knowledge, Skills & Abilities

  • Willing to be scheduled as an after-hours on-call person in rotation with other personnel to include weekends and holidays.
  • High School Diploma or Equivalent is required, College degree is preferred
  • 1 year experience in flight management / dispatch / charter operations preferred
  • Knowledge of the operation of business aircraft
  • JetInsight, SchedAero or CTA FOS or experience preferred
  • Understanding of a corporate flight department is required
  • Previous aviation experience a must, FBO, Charter sales, Airport Ops, etc.
  • A Private pilots license and/or FAA Dispatchers license preferred
  • Ability to work flex shift hours with weekend on-call coverage
  • Strong communications skills compatible with C-suite level
  • Solid computer and organizational skills with excellent decision-making abilities
  • Must be comfortable with changes and tight deadlines
  • Comprehensive understanding of FAR 91 ops, weather theory, systems and aviation weather reports/forecasts.
  • Professional appearance, excellent phone demeanor, with ability to set priorities.
  • Must have an energetic, friendly, well groomed, professional and outgoing personality.
  • Ability to generate/write reports and business correspondence.
  • Punctual, regular and consistent attendance is a must.
  • Strong organizational skills
  • Strong interpersonal and professional outlook is a must
  • Excellent customer service skills
  • Ability to work individually and as part of a team
